FleetCost IQ
FLEET FINANCIAL INTELLIGENCE

Know what your fleet really costs.

A free maintenance cost calculator for private commercial fleets. Understand last year's spending, model the next five years, and compare maintenance strategies. No account required.

Your fleet inputs

PM, repairs, tires, labor, towing. Exclude fuel, finance and downtime.
Lost productivity or other non-duplicated downtime impacts.

Your cost snapshot

Historical maintenance cost per mile
$0.200
Fleet annual mileage1,125,000
Maintenance per truck$15,000
Monthly maintenance$18,750
Maintenance + downtime CPM$0.200

Historical spending is not a prediction. Downtime is reported separately so it is not confused with maintenance invoices.

Forecast assumptions

Scenario assumption, not an industry prediction.

Year 1 uses your historical annual spending as the baseline. Inflation and aging increases apply starting in Year 2. Major repairs are hypothetical additional events beyond your baseline spending, all assigned to the selected year. Do not include repairs already counted in baseline spending.

Five-year outlook

Full-service maintenance assumptions

Default covered scope: preventive maintenance, tires, major component repairs, technician labor and towing. Check actual contract terms before comparing.

Additional costs outside contract coverage, in Year 1 dollars.

The contract is modeled as covering all five maintenance categories above; enter any uncovered annual costs separately. Mileage is held constant in both scenarios. This is not a full-service vehicle lease.

Five-year cost comparison

Self-maintenance scenario—

Contract cost minus self-maintenance scenario

Break-even starting maintenance contract rate ($/mile)
—
Starting rate that matches modeled self-maintenance over five years, given contract escalation and exclusions.

This is a scenario comparison, not a risk-adjusted prediction. The modeled major repairs are assumed covered by the full-service contract. Enter any exceptions as exclusions. Downtime differences, vehicle ownership costs and service quality are not included.

Educational planning tool. Calculations depend on your inputs and assumptions; they are not forecasts of actual component failures or guarantees of future savings. All inputs remain in your browser during this session.

How to calculate commercial fleet maintenance cost per mile

For a private commercial fleet, maintenance cost per mile (CPM) is a way to compare maintenance spending with vehicle usage. Start with your total fleet maintenance spending over the last 12 months, then divide it by the total miles driven by those trucks over the same period.

Maintenance CPM = annual fleet maintenance expenses ÷ annual fleet miles.

For example, if 10 trucks each drive 75,000 miles annually and the fleet spends $150,000 on maintenance, the fleet drives 750,000 miles and its historical maintenance CPM is $0.200 per mile.

What should be included?

Include preventive maintenance, scheduled services, parts, tires, repair labor, major component repairs, and towing when those costs are not already counted elsewhere. Use the same expense definitions each year. Exclude fuel, insurance, vehicle payments and depreciation from maintenance-only CPM; those belong in a broader total cost of ownership calculation.

Why last year's maintenance spending isn't a forecast

Historical CPM is a starting point, not a prediction. Maintenance budgets can change with annual mileage, labor and parts prices, vehicle age, and unexpected failures. The five-year forecast above uses your assumptions for inflation, aging-related increases, and repair events; it is not based on a validated component-failure model.

Self-maintenance versus a full-service maintenance contract

A full-service maintenance contract may cover preventive maintenance, tires, repairs, technician labor and towing, subject to its written terms. Compare a contract's per-mile price and annual escalation with your modeled self-maintenance expenses, then separately consider exclusions, downtime, service levels, and risk transfer. A maintenance contract is not the same as a full-service truck lease.

Frequently asked questions

Does the calculator work for private fleets with multiple trucks?

Yes. Enter the number of trucks, average annual miles per truck, and fleet-wide maintenance spending. If your trucks have very different usage patterns, use actual total fleet miles or analyze groups separately for better precision.

Should I include downtime in maintenance cost per mile?

Track downtime separately. The calculator reports maintenance CPM and a combined economic CPM so lost productivity is not confused with actual repair invoices. Avoid counting the same cost twice.

Does a lower projected cost mean the option is automatically better?

No. The comparison shows costs under selected assumptions. It does not assign probabilities to failures, guarantee future savings, or fully value downtime, operational disruption, and contract service quality.

How is the break-even contract rate calculated?

It is the starting maintenance contract rate that makes the modeled five-year contract cost equal the modeled five-year self-maintenance cost, using the entered mileage, annual contract escalation, and exclusions. It is a scenario result, not a market quote.
